Conversations Reports
Conversations Reports generate a written summary of your chatbot conversations for a selected date range. The report can include conversations across all supported channels, helping you review conversation activity, identify recurring topics, and understand common themes.
You can narrow the report using a Date Range, Feature, or Category filter.
The report is based on conversations across your chatbot channels. Selecting a feature or category only filters which conversations are included in the report.
Before you begin
Make sure you have:
- Access to Monitor → Reports.
- A chatbot subscription.
- The Super Admin or AI Bot Analyst role.
Generate a Report
- Open Monitor → Reports.
- Select a Date Range. This is required to generate a report.
- Optionally select a Feature to limit the report to a specific knowledge base or workflow.
- Optionally select a Category to include conversations associated with a specific category.
- Select Generate Report.
The selected date range can cover a maximum of 31 days.
If you do not select a feature or category, the report includes conversations without those filters.
Select a Date Range
Choose the period of conversations you want to include in the report.
A date range is required before Generate Report becomes available.
You can select Custom Range to define the exact period you want to analyze.
Select a Feature
Use the Feature filter to optionally narrow the conversations included in the report.
You can select:
- All features — Include conversations without limiting the report to a specific feature.
- Knowledge Base — Include conversations associated with a selected knowledge base.
- Workflow — Include conversations associated with a selected workflow.
The Feature filter does not limit the report to a specific channel. Conversations from supported channels are included according to the selected filters.
Select a Category
Use the Category filter to optionally narrow the report to conversations assigned to a specific category.
You can search for a category using Search Category….
If no category is selected, the report is not limited to a specific category.
Track Report Generation
After you select Generate Report, the report appears in the generated reports list.
Report generation can take approximately 10–15 minutes. You can leave the Reports page while the report is being generated.
When a report is In Progress, the reports list refreshes automatically every 15 seconds.
Report Status
The Status column shows the current state of each report.

| In Progress | The report is currently being generated. |
| Success | The report has been generated and is ready to view. |
| Failure | The report could not be generated. |
The View Report action is available when the report status is Success.
Manage Generated Reports
The generated reports list lets you review reports that have already been created.
Report Information
Each report includes the following information:

| Category | The categories included in the report. |
| Start Date / End Date | The conversation period covered by the report. |
| Report Generated Date | The date the report was created. |
| Status | The current report generation status. |
| Action | View Report when the report has been successfully generated. |
Filter the Report List
Use the available controls to manage and find generated reports:
- Custom Range — Filter reports by a specific date range.
- Reset — Clear the current filters.
- Refresh — Refresh the report list.
- Pagination — Move between pages of generated reports.
If there are no reports matching the current filters, the list displays No results.
View a Report
When a report has a Success status, select View Report to open it.
The report includes:
- The conversation period covered by the report.
- The person who generated the report.
- The full written report.
The generated report summarizes the conversations that match the selected report filters.
Download a Report
You can download a successfully generated report as a Word document.
- Open the report by selecting View Report.
- Select Download Report.
- The report is saved as a
.docxfile.
The downloaded file uses the following naming format:
conversation-report-[date].docx
View Example Conversations
Some reports may include sample conversations to provide additional context for the generated report.
When an Example is available:
- Select Example.
- Review the conversation in Chat Preview.
- Use the Reports back control to return to the report list.
Example conversations provide additional context for the information included in the generated report.
Report Usage and Limits
Report generation is subject to your plan’s usage limits.
The report generation area shows how many reports you have created during the current month.
If your plan has reached its available limit or billing requires attention, the report generation form may be replaced with an upgrade or payment notice.
Additional reports beyond the included plan usage are charged according to your plan.
Report availability and charges depend on your subscription and billing status.
